Thank you for taking the first step to support us
Thank you so much for choosing to fundraise for Hannah’s Willberry Wonder Pony Charity. We are so thrilled that you are willing to help us. The support of amazing people like you, and your team of helpers, is absolutely crucial to our charity. As a result of your kindness we are able to carry out Hannah’s wishes by funding medical research into bone cancer (particularly Osteosarcoma) and granting Willberry’s Wishes, which are ‘equine-related’ wishes to those with serious or life threatening illnesses or their immediate family members.
We all know just how much time and energy goes into organising any form of event or activity and we are very grateful. Whether you are fundraising for the very first time, or are a seasoned professional, we want to help make your experience both fun and satisfying.

Organising your event
First things first
Start early and have a good plan of what you want to do and achieve. Even if it seems that your event is a long way off, the sooner you start planning the better. Enlist the help and support of people you know through your own network and don’t forget family and friends, as these are the best form of sponsorship and free advertising you can get.
If you are under 18, you confirm that you have shown these terms and conditions to your parent/guardian, and they have agreed to accept responsibility for complying with these terms and conditions.
You agree to organise fundraising activities as an independent supporter of Hannah’s Willberry Wonder Pony Charity “HWWPC”. You must therefore refer to raising money “in aid of“ HWWPC, rather than on HWWPC’s behalf.
You agree that you will comply with any instructions or guidance provided by HWWPC relating to your fundraising activity, but it is your responsibility to organise all aspects of any fundraising activity undertaken by you.
You will be responsible for any costs, taxes or expenses incurred as a result of, or arising in connection with, your fundraising activity.
Register your event
Complete the Online Event Registration Form. If you are unable to register online please complete our Event Registration Form and return it to fundraising@willberrywonderpony.org. Once we receive your completed form, an event number will be allocated and emailed to you. Please use this number for all correspondence.
Set yourself a target
So you have a goal to aim for, set yourself a target. You will be surprised by how much enthusiasm this can create as you encourage family, friends and supporters to get involved and help you reach your target.
Ways to raise money
This does not have to be complicated, it can range from something as simple as a cake stall, jumble sale or sponsored ride, through to a big event such as a ball or festival. There are many ways that you can increase your fundraising and this may include entry fees, a raffle, an auction, games such as ‘so much for a go’, selling refreshments, etc. Approach local companies, as they may be willing to donate prizes to help a good cause. For a raffle or lottery, please see our separate ‘Raffle Factsheet’ giving information about fundraising through this method. If you are intending to think big, remember the amount of planning that will be required.at your event.
Publicity Guidelines
We hope your event or activity will be hugely successful and getting your fundraising publicity right is so important. This can be a minefield so aim to keep it simple. The cheapest form of advertising is through your own poster, so please download our blank poster template from our website. Make the most of Facebook, Twitter and other social media sites. Please remember that, whatever your event, it must be publicised as being ‘In aid of Hannah’s Willberry Wonder Pony Charity’.
Unless HWWPC has provided you with branded materials as a result of your registration, you may only use the HWWPC name and logo for your fundraising activities with our written permission.
To avoid confusion and protect Hannah and Willberry, it is very important to us that everyone who supports Hannah’s Willberry Wonder Pony Charity gives the same message. Please forward a proof of any advert/publication you would like to use to fundraising@willberrywonderpony.org in good time. The team will check your content and email approval of the publication to you, but please do not go to print until approval has been given. Local newspapers are a good form of publicity, not only before an event but they also like to hear about success stories.
We would love to see how you got on, so send over any photos and info as Willberry wants to see what his amazing helpers are up to! We publish a monthly fundraising round-up on our website and Facebook page, so don’t let your efforts go unnoticed! If you provide us with photos or videos taken during your fundraising activity, you agree that these may be used by HWWPC for commercial and/or fundraising purposes. By sending these to us, you are also confirming that anyone featuring prominently is aged 16 or over and that they have consented to their image being used in this way. For anyone under 16, you must also confirm that you have their parent’s/guardian’s permission to use their image.
Be safe and legal
There are many regulations which are applicable to fundraising and you will need to ensure you comply with these and obtain any necessary licences, consents or permissions. If your event includes entertainment or a bar, please contact your Local Authority to arrange necessary licences. Again, do this in the early stages of your planning. We are unable to apply for this on your behalf, but we are always here to help and guide you through any queries you may have with your own event or activity.
Liability
You accept that any risks arising out of your fundraising activity are your responsibility, including liability for any injury or loss which may occur to you, your helpers or guests. You will therefore take all reasonable precautions to protect the health and safety of all those participating in or attending your activity.
We strongly recommend that you think about Public Liability Insurance for your event and take all reasonable steps to ensure the safety of everyone involved. Hannah’s Willberry Wonder Pony Charity cannot provide insurance for your event and cannot be liable for any incident, accident or damage arising as a result of the event. Some venues and events will require risk assessments.
Sponsorship Money and Donations
You agree to pay all of the proceeds raised by your fundraising event to HWWPC as soon as possible after the event and in accordance with HWWPC’s instructions. You may not deduct any costs unless otherwise agreed with HWWPC.
You will encourage donors and/or sponsors to make gift aid declarations where eligible, which may enable us to recover basic rate tax on such donations.
If you intend to fundraise on private land you must get the full permission from the landowner or manager and this is also the case with shops, pubs, restaurants and other venues. Whether you are collecting at a public or private event, please do not bucket-shake as this is not a practice in keeping with the ethics of HWWPC. We would respectfully ask that you do not under any circumstances carry out house-to-house collections or street collections in aid of Hannah’s Willberry Wonder Pony Charity as this is illegal without the appropriate licences.
Please do not consume alcohol to excess while collecting on our behalf.
Use of Personal Data and Consent
By providing your information when you sign up to fundraise for HWWPC, HWWPC can use the details to discuss your fundraising activity and follow up on your progress.
Your personal information may also be used for the purposes of sending communications to you where you have confirmed that you would like to receive further information about the charity’s work when signing up to fundraise for HWWPC.
All personal data held by us will be handled in accordance with applicable laws and HWWPC’s privacy statement which can be found at www.willberrywonderpony.org/pages/privacy-policy.
